A good-looking sample is useful, but it is not a purchase specification. Before approving a bulk order, connect the sample to a named product construction, dimensions, supporting information and packaging arrangement. That gives the buyer, supplier and receiving team the same reference.
Record what the sample is meant to prove
For a coated XPS backer board, note the board reference, thickness, overall size, surface appearance and edge condition. Identify whether it is a production-size board or a cut sample. Photograph both faces and the edge beside an appropriate scale, and retain a labelled reference. Do not turn a visual check into an unsupported statement about strength or waterproofing.

Read the scope of supporting documents
Ask whether a value relates to the foam core, the coated board or a tested assembly. Check the product identification, test method and conditions. If a report covers a different construction, ask how it relates to the proposed supply. A logo or certificate cover page without the relevant scope is not enough to resolve a technical requirement.
Approve packing for the delivery route
Discuss protection of coated faces, corners and edges. Confirm pieces per pack, pallet configuration, pack dimensions and weight. Include any handling limits at the destination. A distributor unloading with a forklift and a contractor moving boards into an occupied building may need different packing arrangements; the order should reflect the actual route.
Set a receiving procedure
- Check delivery identity and quantities against the packing list.
- Record visible package damage before moving or opening the affected packs.
- Inspect samples from the delivery using the agreed checks.
- Keep photographs, labels and measurements linked to the order.
- Report deviations before installing affected boards and agree the next action with the supplier.
