“Please quote XPS, 50 mm” tells a supplier one dimension but leaves the grade, finish, quantity basis and delivery scope open. Different suppliers may fill those gaps differently. A short, structured RFQ makes it easier to compare the actual materials and identify exceptions before placing an order.
Use a board schedule

If you have not selected a grade, say so. Ask for a proposed configuration against the requirements rather than writing an assumed value into the order. Keep technical acceptance separate from a supplier’s ability to quote a size.
Ask for documents that match the offer
Check whether a report describes the material being offered, its thickness or relevant configuration, and the stated test conditions. A brochure covering a broad range is not the same as evidence for every combination. If the project requires a fire classification, request the named classification system and applicable report rather than accepting an unexplained letter or grade.
Agree the sample and acceptance record
Give the sample a reference and date. Record dimensions, appearance and the characteristics it is intended to represent. A small sample can support visual and dimensional checks; it cannot establish all installed performance. For machined boards, approve the drawing revision as well as the sample so that groove geometry and tolerances are not left to memory.
Compare delivered cost and practical handling
- Ask how many pieces and square metres are in each pack.
- Confirm pack dimensions and weight for your unloading and storage arrangements.
- State which edges or surfaces need extra protection.
- Agree how quantities, damage and deviations will be recorded on receipt.
- Request separate confirmation of lead time, minimum quantity and any custom-processing conditions; do not assume standard terms.
Send this information when discussing Graphite XPS Foam Insulation Board. Ask the quotation to list any deviation explicitly. An offer that states its exceptions is easier to evaluate than a low price with an undefined specification.
